Description
The Practice Manager in the Department of Anesthesiology supports the administrative and clinical leaders and maintains all administrative responsibilities to support the staffing and day to day operations of all surgical sites requiring anesthesia support. This includes hiring and onboarding process for all new hires entering the department, specifically physicians and CRNAs, and other staff as needed. The Practice Manager will interface and work closely with leadership as needed to support Surgical Services and Anesthesiology departmental initiatives.
Responsibilities:
- Support the hiring, credentialing and onboarding process for all new hires – MDs and CRNAs.
- Facilitate the recruitment process to ensure it is seamless for all candidates and individuals involved in the interview process:
- Manage all interviews with all potential candidates
- Serve as the main point of contact for each new hire throughout the onboarding and credentialing process (as well as off boarding)
- Facilitate the credentialing process:
- Gather information for the submission of Release of Application Forms, tracking of application status with MSO and monitoring progress in regard to start dates as needed.
- Ensure all credentialing reverification is completed for MDs and CRNAs as needed
- Lead the completion of onboarding and post onboarding requirements
- Ensure all new hire tasks are completed: obtaining lab coats, systems access, parking, badges, etc.
- Creating orientation itineraries for new hires
- Maintain all distribution lists and pager lists (as applicable)
- Execute all paperwork necessary for Physician and CRNA departures
- Ensure all items are processed for departures (ex. Departure checklists, forms, IT access, receipt of lab coats, pagers, etc.)
- Facilitate the credentialing process:
- Serve as a liaison between MSO and department providers in regard to requests for information (ex. Verification request, insurance information, etc.)
- Serve as the primary point of contact and resources for the MDs and CRNAs related to all HR and Administrative needs
- Facilitate the recruitment process to ensure it is seamless for all candidates and individuals involved in the interview process:
- Serve as the point person for day-to-day operations to ensure appropriate staffing in the ORs and manage all administrative tasks related to MD and CRNA scheduling and compensation:
- Learn and manage the MD and CRNA scheduling workflow and process in current scheduling system related to manpower needs for the department, working closely with the physician lead for physician scheduling and deployment.
- Ensure the consistent utilization of scheduling system by all providers for all scheduling needs
- Work closely with physician leadership and surgical services leadership to ensure minimal interruption in manpower and OR scheduling
- This includes creating schedules to ensure appropriate coverage and entering them in the scheduling system, managing changes in schedule, and communicating any changes to all appropriate parties
- Review and approve all CRNA timecards in Kronos on a biweekly basis
- Track all CRNA and MD CMEs and other relevant compensation as appropriate
- Have a thorough understanding the physician comp plan to ensure appropriate application for payment
- Generate and submit all Extra Service Pay spreadsheets on a biweekly basis, reviewing with physicians for accuracy as needed
- Reconcile physician CDEs on a monthly basis and track against CDE requirements for the FY
- Manage all locum MDs and CRNAs – this includes timesheet sign off and scheduling. Interface with agencies as needed.
- Ensure appropriate and timely billing for all anesthesia services
- Work closely with the billing and coding teams (both internal and external), as well as any other relevant departments as needed to address issues
- Other responsibilities include:
- Administrative duties that may include scheduling of meetings and interviews, calendar coordination for physician leadership
- Managing all HR files for department staff
- Facilitate annual reviews for CRNAs
- Ordering office supplies
- Other responsibilities as assigned
Qualifications
Required:
- Bachelors Degree
- 2 years health care experience
- Experience working within a clinical environment
- Outpatient setting experience
- Demonstrated organizational and leadership skills
- Excellent analytical skills.
Preferred:
- Master of Business Administration (MBA) or Master of Health Administration (MHA)
- Academic medical center health care experience
