Description

The Program Manager, Administration will collaborate with administrative and clinical leaders to manage various responsibilities related to the faculty and professional affairs functions and other administrative management activities of the department.  The Program Manager will work closely with managers, directors and clinicians to develop work plans, metrics and resources to achieve the department’s financial, operational and strategic goals and objectives. 

 

Manage Faculty and Professional Affairs Activities and Communications for the Department:

  • Oversee the recruitment, appointment and promotion processes for faculty and academic staff.  Provide oversight of APP onboarding and recruitment.
  • Oversee medical staff credentialing/privileging, medical licensure applications, and Focused Professional Practice Evaluations (FPPE) for all faculty physicians and advanced practice providers (APPs).
  • Lead planning efforts including development of agenda and meeting materials related to monthly departmental leadership meetings and quarterly faculty meetings.
  • Manage administrative staff who support faculty and professional affairs, faculty development and diversity, and other departmental functions.
  • In partnership with (and leadership of) the department’s administration team, oversee the following:
  • Identification and implementation of faculty professional development initiatives, including leadership development programs for early- and mid-career faculty, and a repository of resources for faculty professional development.
  • Management of faculty policies and procedures, vacation and other relevant records.
  • Coordination of engagement initiatives including social events, employee recognition, etc.
  • Management of department communications, including announcements, business plans, newsletters and websites.
  • Production and dissemination of departmental information and reports.
  • Management of social media campaigns.

 

Manage Strategic and Operational Projects:

  • Manage special/strategic projects in support of operational and strategic planning efforts for the department.
  • Introduce, develop and facilitate new business and programmatic ideas and plans for the department and divisions.
  • Utilize project management tools to ensure accuracy for planning.  Develop and oversee timelines and milestones to ensure that projects are on track for on-time delivery.  Keep project owners and other key stakeholders apprised of project status at regular intervals; communicate any problems or issues that could impact timeline or agreed upon deliverables.
  • Track metrics and other key performance indicators to measure project and deliverable success.

 Perform and complete other projects and/or duties as necessary or assigned.

Qualifications

Required:

  • Bachelor Degree in Business Administration, Healthcare Management, Communications or related field. 
  • Five (5) to eight (8) years’ experience in a relevant role.
  • Strong Knowledge of Microsoft: Word, Excel, Power Point, Project.
  • Demonstrated project management and organizational skills, demonstrated analysis and problem solving skills, excellent oral and communication skills, demonstrated ability to effectively establish and maintain working relationships with peers and constituents at all levels of the organization. 

Preferred:

  • Master’s degree in MBA or MHA preferred; required in place of work experience.
