Job Description
The Program Coordinator, Provider Operations reflects the mission, vision, and values of NM, adheres to the organization's Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines, and all other regulatory and accreditation standards.
The Program Coordinator will assist in implementing a highly efficient onboarding process that successfully orients and integrates new providers into the Northwestern Medical Groups and the overall NM community.
The incumbent must demonstrate superior organizational skills, strong interpersonal and communication skills and attention to detail. The Program Coordinator will be required to use independent judgment in maintaining an efficient workflow and be highly flexible and adaptable. Provides excellent customer service and service recovery to incoming physicians and internal stakeholders within a time sensitive, highly professional environment.
Responsibilities:
- Collaborates with a wide range of business units, departments, and employees; serves as a liaison on behalf of the Provider Operations leadership team to foster strong working relationships and skillfully coordinate onboarding activities.
- Communicates effectively, using exceptional verbal and written skills as well as demonstrates strong creative problem-solving and conflict management skills.
- Assists in the New Provider Orientation Program by handling administrative details, registration, and preparation of onsite materials and executes appropriate follow-up to ensure a smooth orientation process for new physicians. Partners with stakeholder departments, as assigned, to ensure onboarding timelines are achieved, i.e. Information Technology, Credentialing, Human Resources and Practice Management.
- When physician or office staff communicates problems or concerns (access, communication, etc.), keeps appropriate administrators/directors informed about issues, and regularly monitors their solutions; utilizes critical thinking skills to provide recommendations and/or other corrective actions as needed.
- Collaborates with leadership to ensure onboarding resources are continually updated including forms, websites, and other department materials.
- Utilizes advanced Microsoft Office applications, specifically Excel, to prepare onboarding reports by collecting, analyzing, and summarizing data trends.
- Exemplifies excellent customer relations in interactions with providers and employees, and serves as a positive role model through initiative, involvement, and availability.
- Serves as an educator and internal consultant to leadership, teams, and individuals in meeting the needs of providers and their office staff.
- Seeks out innovative ideas and best practices in provider onboarding and incorporates them into the organization’s onboarding efforts.
- Provides calendar management support for the department leadership; facilitates and schedules meetings; arranges for catering; confirms attendance; transcribes meeting content; and supports in preparation and distribution of materials as necessary.
- Performs various administrative support functions which require proactive coordination, management and communication; multi-task in a fast-paced environment with changing priorities.
- Performs other duties as assigned.
Qualifications
Required:
- Bachelor’s degree OR 4 years of directly relevant experience (i.e. project management, healthcare, or professional office environment) in lieu of degree.
- Minimum five years of experience in a business office environment.
- Strong knowledge of Microsoft Office package.
- Ability to organize and think independently with orientation to deadline and detail.
- Strong interpersonal skills.
Preferred:
- Five years of business/medical office experience.
- Healthcare experience.
- Onboarding experience.
- Database management experience.
- Direct physician contact experience.
