Description
The Pharmacy Analytics Coordinator reflects the mission, vision, and values of NM, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines, and all other regulatory and accreditation standards.
Under the direction of the Manager, the Pharmacy Analytics Coordinator acts in a lead role on behalf of the Pharmacy Inventory Billing department. has the authority and accountability for facilitating the delivery of quality service for the department inventory and purchasing functions. Coordinates staff to accomplish the daily tasks. Maintains adequate inventory of pharmaceuticals. Maintains the computerized drug master files. Maintains controlled drug stock and all associated record keeping. Reports all discrepancies in the pharmacy storeroom to the Managers and Directors.
Responsibilities:
- Develops, implements, maintains and coordinates the use of pharmacy inventory management and dispensing automation
- Contributes to the establishment of safe and effective medication use processes
- Supports installation, ongoing maintenance and upgrades of various pharmacy automation technologies
- Serves as a resource expert related to pharmacy automation for the pharmacy department and other inter-disciplinary groups
- Troubleshoots automation issues and coordinates with vendor to reach resolution
- Maintains automation product databases and optimizes inventory processed and dispensed through pharmacy automation including controlled substances
- Reconciles non-profiled dispenses and capture charges
- Maintains automation user information and creates access for users pending pharmacist approval
- Serves as the NMH/NMG pharmacy liaison between with the vendor and maintain positive relationship
- Investigates interoperability between electronic health record and pharmacy automation
- Supports pharmacy department shortage mitigation efforts by providing data related to inventory levels on hand
- Coordinates the implementation of new medication products into pharmacy automation
- Researches and proposes new pharmacy automation and dispensing technologies for expansion considerations
- Train and support end users of the pharmacy automation technologies
- Performs controlled substance dispensing audits to ensure compliance with controlled substance dispensing policies and procedures
- Reviews controlled substance related discrepancies in pharmacy automation and work with the Controlled Substance Management team for investigation, reporting and resolution
- Develop standard operating procedures regarding the use of pharmacy automation for medication dispensing
- Participates in pharmacy department scheduled inventory
- Coordinates the communication and removal of recalled medication from operations
- Demonstrates proficiency in the use of PeopleSoft Procurement.
- Reviews contracts and pricing agreements.
- Maintains inventory of medications and other designated supplies for use in the department and throughout the hospital.
- Identifies and communicates key issues and trends to manager.
- Functions as the “super user” of the inventory computer system, ensuring that the correct products are selected, that inventory levels are correct, and prices are accurate. Identifies system problems and works with the systems programmer to resolve issues.
- Develops and maintains relationships with all customers and suppliers.
- Ensures that service standards are maintained and evaluated.
- Participates in planning and maintenance of the pharmacy information systems.
- Provides on-call coverage, as needed.
- Actively participates in drug shortage committee.
- Provides information to manager on budget issues, especially staffing and cost containment strategies.
- Reconciles statistics and adheres to cost management standards.
- Maintains productivity standards.
- Participates in preparation of major equipment purchase proposals, selection, and documents for equipment acquisition.
- Participates in facility changes and planning.
- Establishes and executes personal development objectives as part of annual objective setting.
- Coordinates critical situations involving patients, staff, and visitors and consults with manager for guidance as needed.
- Facilitates effective interdepartmental communication of incidents with appropriate personnel.
- Ensures compliance with hazardous waste collection and disposal.
- Participates in pharmacy department scheduled inventory.
- Develops, implements, maintains, and coordinates the use of pharmacy inventory management and dispensing automation.
- Contributes to opportunities and processes for continuous improvement.
Leadership/Supervisory Responsibilities:
- Assists manager in meeting hospital objectives and goals.
- Assesses and communicates staff development needs to manager.
- Coordinates and manages shift scheduling.
- Anticipates staffing needs and makes necessary arrangements for coverage.
- Organizes and coordinates staff consistent with volume, service, and financial goals.
- Assumes responsibility for efficient and effective use of time and effort of all staff.
- Creates a positive environment of high morale and motivated staff.
- Orients, trains, and assists in the evaluation of Pharmacy personnel according to departmental and organizational guidelines.
- Assumes delegated responsibilities in the absence of the manager.
Quality Management Responsibilities:
- Assists in maintaining quality management system that allows for consistent evaluation and improvement of services in relation to institutional requirements. Documents all significant activities and takes corrective action as necessary.
- Assists in maintaining quality data collection systems that enable monitoring of service levels.
- Maintains knowledge and uses appropriate resources to provide educational, technical, or information services as needed.
- Facilitates staff understanding of department performance standards.
- Ensures that the environment is clean, safe, and free from hazards.
Qualifications
Required:
- Bachelor’s Degree OR High School Diploma and four+ years of relevant pharmacy technician experience.
- Illinois Pharmacy Technician License (IDFPR)
- Pharmacy Technician certification – CPhT through PTCB or ExCPT through NHA.
Preferred:
- 3+ years of experience as Pharmacy Technician
- Pharmacy purchasing and inventory management experience.
