Description
The Employment Compliance Coordinator reflects the mission, vision, and values of Northwestern Medicine, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards.
The Employment Compliance Coordinator translates the Human Resources' mission, goals, and policies and procedures into effective plans and actions at the department and organization level by interacting with HR staff and with managers throughout the organization to facilitate and educate on compliance-related issues.
Responsibilities:
- General
- Consistently and effectively communicates with members of the Employment Compliance/OGC team and contributes to effective team functioning.
- Participates in regular team meetings.
- Keeps Manager informed of workload and engages in setting priorities.
- Other duties as indicated below and as assigned.
- Administrative & Litigation Support
- Opens and tracks ongoing employment matters in case management database.
- Prepares quarterly and ad hoc reports.
- Provides employment claims support through coordination of a wide range of discovery matters and preparation and coordination of responses to agency charges, subpoenas, and personnel file requests.
- Supports timely responses to claims, including unemployment claims, that sometimes present tight deadlines.
- Monitors, responds to and/or delegates Employment Compliance email inbox and tickets.
- Support employment sponsorship matters.
- Supports student intern schedules and project distribution.
- Supports Faith’s Law documentation processing and tracking.
- Licensure/certification/sanctions monitoring
- In conjunction with vendor, monitors and investigates employee sanctions.
- In conjunction with management, supports spot audits to identify potential gaps in licensure and certification data tracking; track and report on completion.
- Advises on and recommends process and procedure modifications or improvements based on information gathered from spot audits.
- Partners with relevant staff and vendors to trouble shoot data transfer errors.
- Supports IDPH annual reverification process.
- Reviews job descriptions in consultation with HR to ensure appropriate coding of positions and coordinates coding updates with vendors.
- Supports Compliance team activities with HR, accreditation and clinical teams for regulatory surveys.

- PROFESSIONAL/PERSONAL DEVELOPMENT
- Establishes and executes professional and personal development objectives as part of annual objective setting process which complements current position.
- Identifies and pursues activities/development opportunities as appropriate for position and personal development objectives, e.g., participation/leadership in relevant professional groups associations, continuing education as participant, presenter, and planner.
- Communicates with Manager as to professional development goals and needs.
Qualifications
Required:
- Bachelor’s degree or 4 years of HR or legal office or related experience in lieu of degree.
- Excellent interpersonal skills and customer orientation.
- Excellent organizational skills.
- Familiarity with Human Resource applications.
- Detail oriented with natural commitment to follow-through.
- Proven ability in facilitating effective meetings and interactions with team members.
- Ability to work under pressure in a fast-paced environment.
- Competence using MS Office programs.
- Excellent word processing, database management and PowerPoint.
- Flexibility and comfort with ambiguity.
Preferred:
- 2+ years of compliance experience.
