The Admission Specialist performs a variety of office duties to support the efficient and effective operation and activities related to the department under the direction of the Department Director. This role performs insurance verification support duties and acts in a back-up capacity for patient access specialist and bed board coordinator positions.


  • Administrative Support:
    • Manages telephone operations as needed; answers, screens, and directs telephone calls including main department and tour line.
    • Composes and maintains departmental meeting minutes and records.
    • Receives, screens, distributes all incoming correspondence and other mail.
    • Maintains a sufficient inventory of all office supplies and printed forms.
    • Provides calendar management support for the department Director; schedules meetings and meeting rooms; confirms attendance; and supports in preparation and distribution of materials as necessary.
    • Utilizes Microsoft Office applications to design and lay-out presentations and reports.
  • Insurance Verification Support:
    • Collaborates with Insurance Collector in researching insurance benefits on new referrals and communicates this information to patient and liaison.
    • Opens new insurance cases and obtains authorization.
    • Communicates insurance approval to liaison, patient financial services and internal case manager; and documents benefits and insurance approval in electronic chart.
    • Assists in collection of insurance denial data.
  • Office Support:
    • Provides coverage in the absence of Patient Access Specialists and during high volume needs; assists with data entry of new referrals into electronic chart; assembles new admission packet; assists with obtaining signatures on admission forms; and provides scanning of forms.
    • Records RNA data in computerized chart.
    • Performs tours as requested.
    • Provides back-up support in absence of Bed Board Coordinator; works directly with Director and Bed Board Coordinator to provide data entry onto bed board with assistance of above.
  • Additional Office Functions:
    • May support additional projects as requested by department Director.
  • Additional duties as assigned.




  • High school diploma or equivalent.
  • At least one year related office experience.
  • Strong Microsoft Office skills.
  • Excellent organizational, communication, and interpersonal skills.
  • Must be able to follow directions independently.
  • Must be to work in a general office environment.
  • Must be able to communicate to a variety of internal and external sources in a direct and professional manner.
  • Must be able to participate and collaborate as a team player, working in a time-pressured environment.


  • Advanced collegial degree such as Associate's or Bachelor's.
  • Three to five years office experience.
  • Healthcare experience including insurance authorization.
