Description

The Manager Administration reflects the mission, vision, and values of NM, adheres to the organization’s Code of Ethics and Corporate Compliance Program, and complies with all relevant policies, procedures, guidelines and all other regulatory and accreditation standards.

This position manages the daily operation of administrative support services. The Manager establishes work procedures and standards to improve efficiency and effectiveness of assigned operations, and is responsible for ensuring compliance with established corporate standards and reviewing and evaluating the work and performance of assigned staff. The Manager is responsible for translating the NM missions, objectives, policies and procedures into effective action for the areas described.

Responsibilities:

  • Develops and implements policies and procedures pertaining to the operation of the department under the direction of the department leadership.
  • Utilizes appropriate resources within the institution and department to provide consultation, education, technical, or informational services to internal and external customers.
  • Manages administrative staff, and is responsible for initiating personnel actions including hiring, orientation and training, work assignment delegation, counseling, performance evaluation, salary recommendations, corrective action, and termination.
  • Facilitates growth and development of staff, including opportunities to learn new skills and advance both personally and professionally; ensures staff completion of required competencies and review of key policies and procedures.
  • Manages the recruitment, appointment, and promotion process for faculty and academic staff; facilities international employment eligibility processes when necessary.
  • Participates in the development and oversight of the department operating budget.
  • Acts as a liaison between the integrated institutions of Northwestern Medical Group, Northwestern Memorial Hospital and Northwestern University Feinberg School of Medicine on faculty- and staff- related activities and issues.
  • Identifies opportunities for cost savings and efficiencies.

Qualifications

Required:

  • Three to five years of experience in an administrative role within academic healthcare.
  • Financial and budgeting skills to ensure operating expenses are delivered within budget constraints and expenses are tracked accurately.
  • High energy professional with ‘can do’ attitude and a team spirit, combined with a great attention to detail and strong professionalism.
  • Outstanding team building and interpersonal skills, in complex team oriented environments.
  • Savvy and personable, with great people and communications skills.
  • Proficiency in use of office-based technologies/software and maintaining data in enterprise-wide systems.
  • Customer service-focused.
  • Ability to perform well under tight project deadlines, and balance competing priorities.

Preferred:

  • Bachelor’s degree.
  • Management experience with direct reports; three or more years of management experience.
  • Experience in collaborating with academic physician leaders.
